Office Manager & Executive Assistant

We are seeking a reliable, organised, and proactive Office Manager & Executive Assistant to support our leadership team in a varied and dynamic role. This full-time position (with flexibility for part-time arrangements) offers room to grow and a high level of autonomy—ideal for someone who enjoys taking initiative, handling diverse responsibilities, and working independently. The ideal candidate will demonstrate good judgment, initiative, and strong interpersonal skills to support our daily operations and internal coordination.

Responsibilities:

  • Executive Support: Coordinate calendars, meetings, and international travel logistics; prepare emails, briefings, and presentations; handle professional correspondence and follow-up tasks.
  • Office Administration: Manage and execute day-to-day office administrative tasks in our Brussels office.
  • Project Support: Assist with small projects and support organisational efficiency.
  • Stakeholder Liaison: Liaise with internal teams and external partners.
  • Confidentiality: Maintain a high level of confidentiality and trust.

Skills and Qualifications:

  • Professional Experience: Solid experience in an administrative or assistant role, preferably supporting management or executives.
  • Technical Skills: Comfortable using productivity tools such as Google Workspace, MS Office, etc.
  • Organisation and Initiative: Strong organisational and multitasking skills, with the ability to work independently and anticipate needs.
  • Personal Attributes: Discreet, proactive, and calm under pressure.
  • Languages: Fluency in English and French (C2 level), both spoken and written, is required. Proficiency in Spanish, Italian, and/or Dutch is a strong advantage.
  • Educational background: A degree or diploma from a recognised Haute École or university in one of the following fields is a strong plus: Office Management, Business Administration, Accounting, Tourism, Communications, or a related area. Equivalent professional experience will also be considered—practical skills and initiative are highly valued.
